Booking terms and Conditions

We have thought very carefully about our booking terms and conditions which are effective from 1st January 2022 and are set out below.  We hope that this information will enable you to book with confidence and that you will find the process of booking simple to follow. 

Understandably, unexpected events do occur which can change arrangements and we encourage you to consider taking out cancellation insurance.  It is not possible for us to automatically offer full refunds for cancelled bookings, but we provide a refund framework which is set out below.  In certain circumstances we may be able to change your booking to another date depending on available spaces, but if not, your booking fee may be non-refundable. 

Once you have made a booking, we wait 48 hours before raising an invoice.  We hope that the 48-hour period will allow you time to feel your way into your stay with us and if any changes are needed to your chosen dates or you wish to cancel you booking, you can do so without any complication or cost to you.  After 48 hours of your booking being made, booking terms and conditions will apply.  Once an invoice has been issued, your booking is no longer provisional, and payment is required. 

February 2024 Amendment to Booking Terms and Conditions: 

Due to the increasing number of requests received to change or cancel a booking once made, and the administration involved for the bookings and finance team in responding to these requests, we have had to review the cancellation charge.  This has now been set to £30.00.  

In the interest of everyone's wellbeing on the premises, we reserve the right to ask guests and/or visitors to leave, if we feel there may be a risk to themselves or others from remaining on site. 

 

Residential Booking
Invoices and Payment Terms

  • Booking within 7 days of arrival


For bookings where you will arrive within 5 days of the date of booking, an invoice will be issued for the full cost of your stay, for payment by return.  

  • Bookings where arrival is more than 7 days away:


Upon receipt of your booking via the Bookings Office Team, an invoice will be issued no earlier than 48 hours from that date.  Payment should be made within 7 days of the invoice date. 


Changes to Residential Bookings made by you
Once an invoice has been issued any changes to your booking will be subject to a £30 administration fee.  Additional fees may apply.

Cancellation and Refunds of Residential Bookings

Cancellations by you: 

  • Please provide as much notice as possible so that any vacancy can be offered to others.
  • Notification of cancellation must be received either by telephone or email to bookings@harnhillcentre.org.uk.
  • Refunds are based on the notice period given prior to your booked arrival date. 

In all cases a refund will be subject to the deduction of a cancellation fee (CF) of 10% of your full booking fee.

7-14 days notice 25% less CF

Day Courses and Events

Cancellation by Us

We reserve the right to cancel any booking at our discretion in certain or unforeseen circumstances. In this eventuality you will be offered an alternative date for your booking or a full refund.

Parking

We have two car parks available in addition to disabled parking spaces. Cars are parked at the owner’s risk.

Insurance

Guests are responsible for the insurance of their own effects while at the Centre.

Cancellation Insurance – you are encouraged to consider cancellation insurance to cover potential cancellation costs.
